Mastering WooCommerce Order Functions
Managing an order involves more than just seeing a sale. WooCommerce provides several built-in tools to help you communicate with customers and keep your workflow organised.
1. Updating Order Status
Keeping the "Status" accurate is vital for customer satisfaction. You can change this in the Order Details sidebar:
- Processing: The payment is successful and the order is waiting to be packed.
- On Hold: Used if you are waiting for a bank transfer or stock to arrive.
- Completed: The item has been shipped. This triggers an automated "Your order is on its way" email to the customer.
2. Using Order Notes
Located on the right-hand side, Order Notes are powerful communication tools:
- Private Note: Internal notes for you or your staff (e.g., "Customer requested gift wrap"). The customer cannot see these.
- Note to Customer: Use this to send a message directly to the buyer (e.g., "Tracking number: 12345"). This will be emailed to them automatically.
3. Handling Refunds
If a customer needs their money back, you can handle this directly within the order screen:
- Click the Refund button below the item list.
- Enter the quantity of items to be returned.
- Click Refund via [Payment Gateway] to automatically send the money back to their card.
RUSD Pro Tip: You can use Bulk Actions on the main Orders screen to mark multiple orders as "Completed" at once to save time at the end of the day.
